While traditional approaches to user training and change management have changed, user adoption remains the fundamental pillar that underpins the success of any HR technology transformation.
So how can you ensure that your workforce is ready to embrace HR change and adopt the new system efficiently?
In this webinar, we’ll be sharing how organizations are successfully using Digital Adoption tools to accelerate change whilst deploying new HR, Payroll, and Workforce Management solutions.
Adam Wright and Rachel Lehmann, HR and Change experts from PinPoint HRM will share their experiences on:
- Why user adoption is critical to HR tech innovation
- What successful change management and adoption looks and feels like
- How creative digital tools can accelerate HR system adoption and change
The most critical component for an HR tech innovation is user adoption because even if an organization has the best technology, it cannot live upto it’s potential unless employees embrace it.
While talking about user adoption, the major challenges that need to be addressed are –
- Impact of underestimating user adoption
- Traditional training methods are no more effective today
According to Rachel Lehmann, providing classroom training, FAQs, reference guides, instructional videos, etc. is no more an appropriate way to get users onboarded to a new system. While the one-time training sessions build awareness and interest, the How do I do this type of questions are still left unanswered once the project is live. Users would rather pick up the phone and call the HR team whenever they get stuck anywhere in the application than looking out for the answers themselves.
Another critical issue is that cloud HCM solutions have regular functional and technical updates released from the vendor which requires the HR team to continuously update user documentation and videos which can be frustrating sometimes.
How can change and adoption be successfully implemented?
Change efforts need to start early in the project and initial campaigns need to generate curiosity amongst users, getting them to willingly log in and engage with the system once it is released.
Although the traditional one-time training strategies do build awareness and curiosity amongst users but cannot keep users engaged for a longer-term. Hence these approaches are becoming less effective today since the attention spans are shorter and users are no more interested in attending a classroom training or completing a lengthy online course.
So what is the solution to onboard users effectively to a new HCM system? – Digital Adoption Platform
The new-gen change strategy is going to be very different from what it used to be considering the fact that there’ll be no pre-go-live or post-go-live training because all information sits within the Digital adoption platform(DAP). DAP enables on-demand task-based training, learning in the flow of work, and contextual support that accelerates user adoption and reduces the number of support tickets. Also, the business can have really good insight into how the users are interacting with the HCMs. Analytics help observe where users are accessing help or alternatively, completely disengaging with the system. These analytics help create a remarkable experience for users and accelerate adoption.
With a Digital Adoption Platform, the HR team is no more interrupted continuously by user queries so they get to focus their time on other crucial activities and providing better services. This is a win for everybody.
Whatfix – The Ultimate Digital Adoption Solution
From an end-user perspective, the transformation starts after a new system is rolled out. And all the training efforts that organizations provide at the start of the transformation doesn’t really translate and help users when they actually start using the system. So throughout the year help options for an employee really are asking a colleague, looking into outdated decks, or raising support tickets.
So what could make it better? How could change be sustainable and not really point in time exercise? This is what Whatfix does as a company – it provides end users all the support and guidance they need in their flow of work. Whatfix provides contextual help inside the application itself. It deploys a layered approach to the adoption from accelerating the onboarding of new users to ongoing learning and training processes to reducing the number of support queries and overall cost of application. All this is achieved by bringing highly relevant information inside the application making it contextual based and interactive according to the user profile. It is also backed up with robust analytics to track user engagement.
